What your SaaS stack costs per year

Software spend arrives one small monthly invoice at a time, which is exactly why it is hard to see. Priced per seat per month, everything looks cheap; priced per year across the whole company, a normal stack for a 25-person team lands in the tens of thousands, and a few lines account for most of it.

This calculator adds up every tool you pay for — seats, price, billing unit — and shows the annual total, the cost per person per month and per year, and which tools dominate the bill. Twenty common tools are one click away with their public list prices; every number is editable, because your invoice is the one that counts.

How the number is built

Per tool
per-seat price × seats × 12 for monthly billing, × 1 for annual billing. Flat-rate tools are added as they are, without a seat count.
Total
the sum of every line, in one currency. Prices default to public list prices per seat per month on annual billing.
Per person
total ÷ headcount, shown per year and per month — the number to compare between teams and across years.
Concentration
the top lines are ranked and shown as a share of the bill, because that is where a renewal negotiation or a seat audit pays off.

When to use it

  • Renewal season

    Build the list once, before the first renewal lands. The top three lines are your negotiation list; everything under a percent of the bill is not worth the meeting.

  • Seat audits

    Enter the seats you pay for, not the seats in use. The gap between those two numbers, priced per year, is what an audit is worth.

  • Budgeting for growth

    Double the headcount and the per-seat lines double with it. Seeing that before you hire is the difference between a plan and a surprise.

Questions

How do I calculate annual SaaS cost per employee?

Add every tool's annual cost, then divide by headcount. This calculator does both and shows the result per person per year and per month, so you can compare it against the industry range of roughly $5,000–$9,500 per employee reported by SaaS-management vendors.

Where do the default prices come from?

Public list prices per seat per month on annual billing, taken from the vendors' own pricing pages. They are starting points: real invoices differ after negotiation, add-ons and enterprise terms, so overwrite them with what you actually pay.

How do I handle flat-fee or usage-based tools?

Choose the flat monthly or flat annual billing unit and enter the amount; seats are ignored for those lines. For usage-based tools, enter a monthly average as a flat fee.

Should I count tools that a few people use?

Yes — enter the real seat count rather than the headcount. Partially deployed tools are exactly where unused seats hide, and the calculator prices each seat individually.

Does it convert currencies?

No. A receipt is in one currency. If you pay some invoices in another currency, convert them yourself before entering them — there is no exchange rate in the calculation.
